The Administrative Assistant is an Executive business partner and force multiplier for the Principal.
The Executive Business Partner serves as the primary "Force Multiplier" for the CEO. Your mission is to maximize the CEO’s strategic output by serving as a high-level gatekeeper, a secondary brain for complex decision-making, and an expert orchestrator of the CEO's professional ecosystem. You ensure that the CEO is perpetually prepared, protected from low-value distractions, and focused on the firm’s 2026 growth benchmarks.
Strategic Time Engineering & Gating
Priority Alignment: Proactively manage the CEO’s calendar not based on "who asked first," but on the firm's quarterly OKRs and strategic roadmap.
Deep Work Protection: Design and enforce "Focus Blocks" to ensure the CEO has the cognitive space for visionary work and complex advisory analysis.
Shadow Management: Attend high-level meetings in the CEO’s stead when appropriate, capturing action items and ensuring follow-through across the firm.
Executive Communication & Ghostwriting
Voice Synthesis: Draft high-stakes correspondence, LinkedIn thought leadership, and internal firm-wide memos in the CEO’s authentic voice.
Briefing Intelligence: Prepare "Daily Briefing Binders" for every meeting, including participant bios, historical context, and desired outcomes (The "Why" behind every "Who").
Board & VIP Liaison: Serve as the primary, high-touch point of contact for the firm's most prestigious clients and board members.
AI-Augmented Productivity
Workflow Automation: Implement and manage an AI tech stack (e.g., Motion for scheduling, Otter.ai for transcription/synthesis) to automate 80% of routine administrative friction.
Data Synthesis: Use Generative AI to summarize long-form reports or market intelligence into actionable "Executive Summaries" for the CEO’s rapid consumption.
Operational Stewardship
Financial Administration: Oversee the CEO’s professional expenses, travel logistics (private and commercial), and personal brand assets.
Crisis Buffer: Act as the first line of defense for urgent issues, resolving 90% of operational "fires" before they ever reach the CEO’s desk.
Anticipatory Intelligence: The rare ability to solve problems before the CEO is even aware they exist.
High-Stakes Discretion: Absolute mastery of confidentiality and the "Internal Vault" mentality regarding sensitive firm and client data.
Systems Thinking: The ability to see how a single calendar change impacts the entire firm's project delivery and revenue flow.
Executive Presence: The gravitas to negotiate with senior partners, push back on the CEO’s time-wasting habits, and represent the firm to VIPs.
Technological Agility: Expert-level proficiency in AI-driven productivity tools and the ability to train the CEO on new efficiency workflows.
CEO Leverage Ratio: Reclaim a minimum of 20 hours per week for the CEO to focus on "Tier 1" strategic activities.
Meeting Efficacy: 100% of the CEO’s meetings must have a pre-briefing provided 12 hours prior and a summary of action items delivered 2 hours after.
Communication Latency: Reduce CEO-related email/slack response times for internal staff by 50% through delegated authority.
Zero-Defect Logistics: 100% accuracy in travel, event, and scheduling logistics (Zero missed flights or double-bookings).
Experience: 5+ years of experience supporting C-suite executives, preferably within Management Consulting, Private Equity, or a Top-Tier Advisory environment.
Education: Bachelor’s degree in Business Administration, Communications, or Finance. An MBA or PMP certification is a significant advantage.
Technical Mastery: Proven track record of using AI productivity tools and CRM systems (Google Workspace) to drive executive efficiency.
